Fair Use Policy

This Fair Use Policy explains how HAPR ("Company", "we", "us", or "our") expects the HAPR platform and the services offered through www.thehapr.com ("Services") to be used. It applies to every plan, including Free, and forms part of our Terms of Service. Its purpose is to keep the Services reliable, fair to every customer and respectful of the hotels and suppliers who take part in them.

1. Who RFPs Are For

1.1 RFPs, sourcing workspaces and event tools are for events you run for your own organisation or for clients you serve directly. 1.2 Reselling access to the Services, running them on behalf of third parties as a service, white-labelling them or giving separate client workspaces to other businesses needs a partner agreement with HAPR. 1.3 Each account is for the organisation that holds it. Accounts may not be shared between unrelated organisations.

2. Hotel and Supplier Contacts

2.1 Hotel and supplier contact details are shown for the properties you invite to an RFP, so that you can run that RFP. 2.2 Contact details may not be exported, copied into other systems in bulk, resold or used for marketing that is unrelated to your RFP. 2.3 We may limit how many contacts are revealed in a period and will tell the account owner if unusual activity is seen.

3. Reasonable Use of the Platform

3.1 Searches, AI insights, destination pricing and other features are provided for planning and sourcing real events. 3.2 Automated access, scraping, bulk downloading or any use that places an unreasonable load on the Services is not permitted. 3.3 Invitations sent through the Services must be genuine requests for the event or programme described.

4. Enterprise Licences

4.1 Enterprise licences are priced against the volume you forecast. Use is reviewed at each renewal, never in the middle of an event. 4.2 Where use is well above the licence, we will contact you to agree the right level for the next licence year.

5. What Happens If This Policy Is Not Followed

5.1 We will normally contact the account owner first and give a reasonable chance to correct the use. 5.2 Where use puts the Services, other customers or suppliers at risk, we may limit or suspend the features concerned, in line with our Terms of Service.

6. Changes to This Policy

We may update this Fair Use Policy from time to time. The effective date at the top of this page shows when it last changed.
